AI meeting notes, in plain words

Summary

For in-person meetings, a phone app that records and transcribes is enough; no extra device is needed.

Based on work with a ~20-person Danish company on Microsoft 365 with many in-person meetings in Danish, Polish and English.

Recommended: Good Tape

Good Tape is a Danish transcription service.

Steps:

  1. Start the free trial and install the app on meeting leaders' phones.
  2. Request and sign the data processing agreement (or use the Business plan).
  3. Buy seats for meeting leaders only.
  4. Rules: one language per meeting; announce the recording at the start.
  5. Test one Danish, one Polish and one English meeting before rollout.

Caveats: Danish accuracy has not been tested yet (hence step 5). Danish and Polish mixed in one meeting is not supported by Good Tape or Teams as far as known; Fireflies' multi-language mode is untested for it.

No-cost alternative: Teams on a phone

On Microsoft 365: open Teams on the phone, choose "Meet now", turn on recording and transcription, and set the spoken language (Danish and Polish are supported). Data stays in the company's Microsoft 365. This gives a transcript only; an AI summary requires Teams Premium or Copilot.

Zoom and Google Meet have similar built-in note features on their paid business plans. Phone built-ins are limited: iPhone transcription does not support Danish or Polish, and Samsung does not support Danish.

More features, less privacy: Fireflies.ai

Fireflies.ai Business: $19 per person per month billed yearly ($29 monthly), per the pricing page on 13 October 2026.

Steps: sign up and turn off calendar auto-join; seats for meeting leaders only; language auto-detect on; phone mid-table and recording announced; pilot a Danish, a Polish and a mixed meeting.

Consent and GDPR

Not legal advice. In Denmark, recording a conversation one takes part in is not a crime; secretly recording others' conversations is. Businesses must also follow GDPR. Datatilsynet expects consent unless there is no reasonable other way to document the meeting, and in 2025 sharply criticised a business for secretly recording staff.
